General information

The following information provides an overview of what happens to your personal data when you submit abstracts for the 63rd Scientific Congress of the German Nutrition Society (Deutsche Gesellschaft für Ernährung e. V.). (hereinafter referred to as "DGE"). Personal data is data by which you can be personally identified. For detailed information on the subject of data protection, please refer to the data protection declaration listed below this text.

Services used to store and process your data

The DGE uses a web-based abstract submission system (ConfTool), to prepare and organize the 63rd Scientific Congress. The ConfTool software and the servers on which your data are stored and processed are provided by the

All servers are hosted by ConfTool GmbH and are located in data centers in Germany that comply with the ISO 27001 standard. All data is stored and processed on behalf of the DGE of this event, it is the operator of this ConfTool installation. Each event is operated with a separate installation and database, and each operator of a ConfTool installation can only access the data of its own installation in accordance with the principle of separability of data pursuant to Section 64 (3) BDSG 2018.

ConfTool GmbH uses the data of the installation only for the purposes contractually agreed with the DGE. No further use of the data by ConfTool GmbH will take place. ConfTool GmbH will never pass on data to third parties without the prior explicit written authorization of the DGE. ConfTool GmbH is a German software service provider that complies with the standards of the European GDPR and the German BDSG.

Who is responsible for data collection in ConfTool?

Data processing with ConfTool is carried out by the DGE. You will find a link to the contact details in the provider identification (imprint), which is referenced in the lower left corner of each page.

How do we collect your data?

On the one hand, your data is collected by you providing it to us. This can be, for example, data that you enter in a form when you create a user account or submit a contribution.

Other data is automatically collected by the IT systems used by ConfTool GmbH when you access ConfTool. This is mainly technical data, such as internet browser, operating system or date and time of the page request (log file). This data is collected automatically as soon as you access and use the ConfTool system.

What do we use your data for?

Some of the data is collected to ensure error-free provision of the ConfTool system. Other data may be used to analyze your user behaviour.

What rights do you have regarding your data?

You have the right to receive information about the origin, recipient and purpose of your stored personal data free of charge at any time. You also have the right to demand the correction, blocking or deletion of this data. You can contact us at any time at the address given in the imprint for this purpose and for further questions on the subject of data protection. Furthermore, you have the right to lodge a complaint with the competent supervisory authority.

The DGE treats your personal data confidentially and in accordance with the statutory data protection regulations and this data protection declaration.

When you use ConfTool for abstract submission, various personal data are collected. Personal data is data by which you can be personally identified. This Privacy Policy explains what data we collect and what we use it for. It also explains how and for what purpose this is done.

We would like to point out that data transmission on the Internet (especially when communicating by e-mail) can have security gaps. Complete protection of data against access by third parties is not possible

Revocation of your consent to the processing of your data

Many data processing operations are only possible with your express consent. You can revoke consent you have already given at any time. All you need to do is send an informal e-mail to the data protection officer (see above). The legality of the data processing carried out until the revocation remains unaffected by the revocation.

Right of complaint to the competent supervisory authority

In the event of violations of data protection law, the data subject has the right to lodge a complaint with the competent supervisory authority. Right to data portability

You have the right to have data that is processed automatically on the basis of your consent or in fulfilment of a contract handed over to you or to a third party in a common, machine-readable format. If you request the direct transfer of the data to another responsible party, this will only be done insofar as it is technically feasible.

SSL- or TLS-encryption

For security reasons and to protect the transmission of confidential content from form data that you send to the DGE via ConfTool, ConfTool uses SSL or TLS encryption. You can recognise an encrypted connection by the fact that the address line of the browser changes from "http://" to "https://", as well as by the lock symbol (usually shown in green) in your browser line.

If SSL or TLS encryption is activated, the data you transmit to us cannot be read by third parties

Request for information, blocking, deletion

Within the framework of the applicable legal provisions, you have the right to obtain information free of charge at any time about your stored personal data, its origin and recipient and the purpose of the data processing. You also have the right to have this data corrected, blocked or deleted. For this purpose, as well as for further questions on the subject of "personal data", you can contact us at any time at the address given in the provider identification (imprint).

Objection to advertising e-mails

We hereby object to the use of the contact data published in the provider identification for sending advertising and information material that has not been expressly requested. The DGE reserves the right to take legal action in the event of the unsolicited sending of advertising information, for example by spam e-mails.

Data collection by the ConfTool system

Cookies

The ConfTool system uses so-called cookies. Cookies do not harm your computer and do not contain viruses. Cookies are used to make the ConfTool system more user-friendly, effective and secure. Cookies are small text files that are stored on your computer and saved by your browser.

Most of the cookies used by ConfTool are so-called "session cookies". They are automatically deleted at the end of your visit. Other cookies remain stored on your terminal device until you delete them. These cookies enable us to recognise your browser on your next visit.

You can set your browser so that you are informed about the setting of cookies and only allow cookies in individual cases, exclude the acceptance of cookies for certain cases or in general and activate the automatic deletion of cookies when closing the browser. If cookies are deactivated, the functionality of the ConfTool system will be significantly restricted.

Cookies that are required to carry out the electronic communication process or to provide certain functions you have requested (e.g. authentication) are stored on the basis of Art. 6 (1) lit. f GDPR. The DGE has a legitimate interest in storing cookies for the technically error-free and optimised provision of its services.

System Logging

ConfTool GmbH automatically collects and stores information that your browser automatically transmits in a "server log" and a "user log" used by the DGE in ConfTool. These are:

  • Accessed page and transmitted parameters
  • Date and time of the server request
  • Browser type and browser version
  • Operating system used
  • Referrer URL
  • IP address and host name of the accessing computer

This data is not merged with other data sources. The data is mainly used to improve the security and usability of the system and to allow the DGE to help you if you have questions about or problems using the system.

The basis for the data processing is Art. 6 para. 1 lit. f GDPR, which allows the processing of data for the performance of a contract or pre-contractual measures

Storage period of the system logging

The "server log" file is stored for a period of one year and then deleted. The "user log" is stored for the duration of the event held and deleted after the event has ended.

Contact form and e-mail contact

Contact form

If you send us enquiries via the contact form, your details from the enquiry form, including the contact details you have provided there, will be stored by us for the purpose of processing the enquiry and in the event of follow-up questions. We do not pass on this data without your consent.

The processing of the data entered in the contact form is therefore based exclusively on your consent (Art. 6 para. 1 lit. a GDPR). You can revoke this consent at any time. To do so, simply send an informal e-mail to the data protection officer (see above). The legality of the data processing operations carried out until the revocation remains unaffected by the revocation.

The data you enter in the contact form will remain with us until you request us to delete it, revoke your consent to store it or the purpose for storing the data no longer applies (e.g. after we have completed processing your enquiry). Mandatory legal provisions - in particular retention periods - remain unaffected.

E-mail contact

It is possible to contact dge2026@conftool.pro and kongress@dge.de via the e-mail address provided. In this case, the user's personal data transmitted with the e-mail will be stored.

In this context, the data will not be passed on to third parties. The data is used exclusively for processing the conversation.

The legal basis for the processing of data transmitted in the course of sending an e-mail is Art. 6 para. 1 lit. f GDPR. If the e-mail contact aims at the conclusion of a contract, the additional legal basis for the processing is Art. 6 (1) lit. b GDPR.

The processing of the personal data from the input mask serves us solely to process the contact. This also constitutes the necessary legitimate interest in processing the data.

The data is deleted as soon as it is no longer required to achieve the purpose for which it was collected. For personal data sent by e-mail, this is the case when the respective conversation with the user has ended. The conversation is ended when the circumstances indicate that the matter in question has been conclusively clarified.

The user has the possibility to revoke his consent to the processing of personal data at any time. If the user contacts us by e-mail, he or she can object to the storage of his or her personal data at any time. In such a case, the conversation cannot be continued.

The objection can be made informally at any time to the office responsible for data protection (see above).

All personal data stored in the course of contacting you will be deleted in this case

Registration with ConfTool

You can register with the ConfTool system in order to use the system's functions. We use the data entered for this purpose only for the purpose of using the respective offer or service for which you have registered. The mandatory information requested during registration must be provided in full. Otherwise we will reject the registration.

For important changes, for example in the scope of the offer or in the case of technically necessary changes, we will use the e-mail address provided during registration to inform you in this way.

The processing of the data entered during registration is based on your consent (Art. 6 para. 1 lit. a GDPR). You can revoke your consent at any time. For this purpose, an informal communication by e-mail to us is sufficient. The legality of the data processing already carried out remains unaffected by the revocation.

The data collected during registration will be stored by us for as long as you are registered in this ConfTool installation and will then be deleted. Legal retention periods remain unaffected

Processing of data (customer and contract data)

We collect, process and use personal data only insofar as they are necessary for the establishment, content or amendment of the legal relationship (inventory data). This is done on the basis of Art. 6 (1) lit. b GDPR, which permits the processing of data for the fulfilment of a contract or pre-contractual measures. We collect, process and use personal data about the use of this ConfTool installation (usage data) only insofar as this is necessary to enable you to use the service or to bill you for it.

The collected customer data will be deleted after completion of the order or termination of the business relationship. Statutory retention periods remain unaffected

Data transfer upon conclusion of a contract for services and digital content

We only transmit personal data to third parties if this is necessary within the framework of the contract, for example to a graphics agency for the necessary creation of a programme or abstract volume.

Further transmission of data does not take place or only if you have expressly consented to the transmission. Your data will not be passed on to third parties without your express consent, for example for advertising purposes.

The basis for data processing is Art. 6 para. 1 lit. b GDPR, which permits the processing of data for the fulfilment of a contract or pre-contractual measures.

Email newsletters about the event

Data relating to the newsletters

If you would like to receive information about this event, the DGE requires an e-mail address from you as well as information that allows us to verify that you are the owner of the e-mail address provided and that you agree to receive the newsletter. Further data will not be collected or will only be collected on a voluntary basis. We use this data exclusively for sending the requested information and do not pass it on to third parties.

The data entered in the registration form is processed exclusively on the basis of your consent (Art. 6 para. 1 lit. a GDPR). You can revoke your consent to the storage of the data, the e-mail address and their use for sending the newsletter at any time. The legality of the data processing operations already carried out remains unaffected by the revocation.

The data you have provided us with for the purpose of receiving the newsletter will be stored by us until you unsubscribe from the newsletter and will be deleted after you have unsubscribed from the newsletter. Data stored by us for other purposes (e.g. e-mail addresses of authors or participants) remain unaffected by this.

Changes to the data protection statement

We reserve the right to update this statement if necessary.
